Executive Assistant to the Enterprise CEO

Hours | Core hours apply (standard office hours with flexibility around start/end times, per company policy), with availability required around CEO's schedule, including occasional early/late support for events |
Purpose of the role
The Executive Assistant provides comprehensive support to the Enterprise CEO, ensuring his diary, communications, travel, and stakeholder engagements run smoothly. The role also extends into event planning for the CEO's office (such as high-performer dinners and other recognition or stakeholder events), close collaboration with the Chief of Staff on culture-building initiatives, and ad hoc office administration.
Key responsibilities
Executive support
- Manage CEO's calendar, scheduling and prioritizing meetings, resolving conflicts proactively
- Coordinate domestic and international travel, including itineraries, visas, and accommodation
- Prepare correspondence, presentations, and meeting packs
- Act as a key point of contact between CEO and internal/external stakeholders, screening and prioritizing requests
- Take minutes and track follow-up actions for key meetings (e.g. Manco sessions) where required
- Manage expense claims and reconciliations
Event planning and culture activities
- Plan and coordinate events on behalf of the CEO, including high-performer dinners, team functions, and stakeholder engagements
- Work closely with the Chief of Staff to plan and deliver townhalls, office events, and other activities that drive Enterprise culture
- Manage venue sourcing, budgets, guest lists, catering, and logistics end-to-end
- Ensure events reflect the standard and tone expected of the Enterprise division
Office administration
- Support general office administration and ad hoc requests as needed (e.g. supplies, vendor coordination, seating/space-related queries)
- Assist with office planning tasks in collaboration with the broader operations function
- Use AI tools (e.g. Claude) to streamline scheduling, correspondence, meeting summaries, and other repetitive admin tasks, improving efficiency and turnaround time
- Maintain confidentiality and discretion across all administrative and commercial matters
Requirements
- Proven experience as an EA/PA at C-suite or senior executive level
- Excellent organisational skills and the ability to manage competing priorities
- Strong written and verbal communication skills
- High discretion and professionalism in handling confidential information
- Proficiency in MS Office (Outlook, PowerPoint, Excel, Word)
- Comfortable adopting AI tools to optimise day-to-day workflows
- Event coordination experience advantageous
